Fairwinds Vendor Return Guidelines

Overview
Fairwinds Manufacturing is committed to delivering high-quality products and exceptional customer service. We acknowledge that product returns may be necessary in certain situations. Therefore, we have established a comprehensive return policy for Fairwinds and Passion-Flower products. Please adhere to the following guidelines to ensure a smooth return process.
Return Policy
Notification: Please inform your assigned Sales Representative at least 48 hours before your next scheduled delivery if you intend to return a product.
Pickup: Only Fairwinds delivery or Sales staff or our designated third-party transporter will pick up the returns.
Traceability: Returns must be processed through your preferred I-502 traceability system. A Json link must be sent before the return pickup. The product must be transferred and available in our system for pickup.
Exceptions: An exception to using the Fairwinds Return Form is a store generated invoice/memo detailing the product description, Fairwinds Lot number, reason for return, price paid, and mailing address for credit remittance.
Verification: Our Driver or Sales staff will verify that the products match the return manifest at the time of pickup. Please allocate time for this verification process.
Refund Issuance
Approval: All refunds will be reviewed and approved solely by Fairwinds/Passion-Flower Management.
Expired Products: A 60% refund on the wholesale price will be issued for expired products returned within 90 days of expiration. Products returned after 90 days of expiration will be discarded without refund issuance.
Non-Defective Returns: Products returned for reasons other than being expired or defective must be returned within 6 months of the purchase date to be eligible for a 60% refund of the wholesale price. ***Flower not returnable unless defective
Defective Products: A full refund will be issued for all defective Vapes. Tinctures and other defective Fairwinds/Passion-Flower products must be returned within 30 days from the store customer purchase to receive a 100% refund for defects. Note: Customer dissatisfaction does not qualify as a defect. Flower refunds are assessed on a case by case basis.
Approval: All refunds will be reviewed and approved solely by Fairwinds/Passion-Flower Management. All approved refunds are remitted via check.
Live Resin Concentrate: We no longer accept returns of Live Resin Concentrate for reasons other than defects due to transportation-related product loss. Any other returns of live resin are handled on a case by case basis. (Transportation related defects must be reported 72 hours of delivery).
Post-Delivery Loss: Fairwinds does not cover the cost of products that are lost, stolen, or damaged after delivery.
Defective Items
The following are examples of defective items:
Tincture: Leaking, empty, damaged packaging
Capsules: Missing capsule, damaged packaging
Vape Cartridge & Live Resin: Leaking, cracked glass, non-functional, damaged packaging
Suppository: Leaking, empty, damaged packaging
Topicals: Leaking, abnormal consistency (approved by Fairwinds Management), damaged packaging
Flower: Seeds, foreign material, inaccurate weights. Other concerns address on a case by case basis.
*** NOTE: Customer dissatisfaction is not covered by return policy.
Required Details
The following details must be listed and must match the manifest before transportation:
PRODUCT NAME: Fairwinds/Passion-Flower product name or description
LOT NUMBER: Fairwinds/Passion-Flower lot number. *** See Notes below about lot numbers.
QUANTITIES: Product quantities
TRANSPORT DETAILS: Transport driver and vehicle information.
DATE: Date of Transportation
Required Details
A lot number is crucial in product tracking and management, especially in industries like manufacturing where compliance, traceability, and accurate return processing are of utmost importance. Here's why a lot number is necessary:
1. Traceability: Lot numbers allow for effective traceability of products. If a product defect or issue is discovered, the lot number can help identify other products that might be affected. This is particularly important in case of a product recall or quality control issue.
2. Compliance: Regulatory bodies often require lot numbers for compliance with safety and quality standards. The lot number helps demonstrate that a company has a robust system for tracking and controlling its products, which is essential for meeting these regulatory requirements.
3. Return Processing: When a product is returned, the lot number can provide valuable information about when and where it was sold, and possibly why it was returned. This can help assess the return's validity and determine the appropriate amount of credit to be issued.
4. Inventory Management: Lot numbers can also be useful for inventory management purposes. They can help track the movement of products through the supply chain, monitor stock levels, and manage product expiration dates.
5. Without access to this information, delays in processing may occur, or could result in our inability to authorize the credit.
